Terms & Conditions – Travelasan

Effective date: 02/10/2021

User agreement, booking, payment, cancellation, liability, and policies for Travelasan travel services.

1.Applicability of Agreement

This agreement (“User Agreement”) governs the relationship between Travelasan (“Company”, “We”, “Us”) and the user (“Customer”, “User”) accessing our services via website, WhatsApp, phone, email, social media, or any other communication channel.

By booking or inquiring with Travelasan, the User agrees to be bound by all terms mentioned herein.

2.User Acknowledgement & Acceptance

The User confirms that they have read, understood, and accepted all Terms & Conditions before making any booking.

Any service availed from Travelasan constitutes full acceptance of this agreement.

If the User does not agree, they must refrain from using our services.

3.Role of Travelasan

Travelasan acts as a facilitator and intermediary between the User and third-party service providers (airlines, hotels, DMCs, transporters, visa partners).

We do not own or operate these services.

All bookings are subject to supplier terms and conditions.

4.Booking Confirmation & Contract

A booking is considered confirmed only when:

  • Required payment is received
  • Confirmation is issued by Travelasan

Travelasan reserves the right to:

  • Cancel bookings due to pricing errors
  • Refuse service without assigning reason
  • Modify booking based on operational feasibility

5.Pricing, Dynamic Nature & Errors

All prices are dynamic and subject to:

  • Availability
  • Currency fluctuations
  • Supplier changes

In case of pricing errors:

  • Travelasan reserves the right to correct the price
  • Customer must pay the difference or cancel

Final pricing is locked only after payment.

6.Payment Terms

Advance payment is mandatory for booking confirmation.

Balance payment must be cleared before travel.

Failure to pay may result in:

  • Automatic cancellation
  • Loss of advance

Payments once made are governed by cancellation rules.

7.Third-Party Terms (Critical Clause)

Airlines, hotels, and local operators have independent terms.

The User agrees to comply with:

  • Airline fare rules
  • Hotel policies
  • Local regulations

In case of conflict: Supplier rules will apply where relevant.

8.User Responsibility (Very Important)

The User is solely responsible for:

  • Verifying all booking details
  • Ensuring correct names as per passport
  • Checking travel dates and itinerary
  • Arriving on time for flights/transfers
  • Following destination rules

Travelasan will not be responsible for errors caused due to incorrect information provided by the User.

9.Flights – Terms & Risks

Airfares are real-time and non-blocked unless ticketed.

Flight schedules may change without notice.

Travelasan is not liable for:

  • Delays
  • Cancellations
  • Missed connections

Any additional cost must be borne by the traveler.

10.Hotels & Accommodation

  • Hotel star ratings are based on local standards.
  • Room allocation is subject to availability.
  • Early check-in / late check-out is not guaranteed.
  • Overbooking by hotels is beyond Travelasan’s control.

11.Itinerary Flexibility

Itineraries are subject to:

  • Weather conditions
  • Local restrictions
  • Operational factors

Travelasan reserves the right to:

  • Modify schedules
  • Replace hotels
  • Rearrange activities

12.Transfers & Sightseeing

Transfers may be private/shared as per plan.

Delays due to traffic/weather are not our liability.

No refund for missed services due to:

  • Late arrival
  • No-show
  • Flight delays

13.Visa & Documentation

Visa approval is solely at the discretion of embassies.

Travelasan only provides assistance.

We are not responsible for:

  • Visa rejection
  • Delay in processing

No refund for services impacted due to visa issues.

14.Insurance

Travel insurance is recommended.

If included, it is governed by insurer terms.

Claims must be handled directly with insurance provider.

15.Cancellation Policy (Detailed Protection)

General Rules:

  • All cancellations must be in writing.
  • Charges depend on supplier policies.

Common Slabs:

  • 30+ days: Partial charges
  • 15–30 days: Moderate charges
  • 0–15 days: High or 100%

Special Cases:

  • Flights: Mostly non-refundable
  • Peak season: Non-refundable
  • No-show: 100% charge

16.Refund Policy

Refunds processed only after receiving from suppliers.

Deductions:

  • Cancellation charges
  • Service fees
  • Payment gateway charges

Timeline: 15–30 working days

17.Amendments & Rescheduling

Changes are subject to:

  • Availability
  • Charges
  • Fare difference

No guarantee of same pricing.

18.Force Majeure

Travelasan is not liable for events beyond control:

  • Natural disasters
  • Pandemics
  • Political unrest
  • Airline disruptions

In such cases:

  • Alternate arrangements may be provided
  • Refunds depend on suppliers

19.Limitation of Liability

Maximum liability of Travelasan is limited to: Amount paid by the customer

We are not liable for:

  • Indirect losses
  • Missed experiences
  • Emotional distress
  • Additional expenses

20.Data & Account Security

User is responsible for:

  • Protecting account credentials
  • All activities under their account

Travelasan is not liable for misuse.

22.Intellectual Property

All website content belongs to Travelasan.

Unauthorized use is prohibited.

23.Fraud & Misrepresentation

Providing false information may result in:

  • Cancellation
  • Legal action

Travelasan reserves full rights to act against fraud.

24.Right to Refuse Service

Travelasan may refuse or cancel bookings if:

  • User violates terms
  • Suspicious activity is detected
  • Payment issues arise

25.Indemnification

User agrees to indemnify Travelasan against:

  • Legal claims
  • Losses due to misuse
  • Breach of agreement

26.Customer Content Usage

By sharing photos, videos, or testimonials, the User grants Travelasan rights to use them for marketing.

Content will not be misused or used unlawfully.

27.Website Usage

Content cannot be copied or reused without permission

Website use is at User’s risk

28.Updates & Modifications

Travelasan may update terms anytime

Continued use means acceptance

29.Relationship

This agreement does not create partnership or agency

Both parties act independently

30.Jurisdiction

All disputes fall under Gurugram, Haryana (India) jurisdiction

31.Final Acceptance

By booking with Travelasan, the User confirms:

  • Full understanding of all terms
  • Agreement to all policies
  • Acceptance of supplier rules
